- Integrated ERP: for deep automation of core processes (invoicing, inventory, production) — more powerful, but it requires a proper rollout
How can you fund automation?
The grants available in Spain cover a significant part of the investment:
- Kit Digital: funds process management solutions (ERP), CRM and electronic invoicing — up to €29,000 for medium-sized companies
- Cupons ACCIÓ Industria 4.0: up to €20,000 to deploy industrial automation technologies (IoT, RPA, AI) in Catalan companies
- FUNDAE-funded training: training your team in automation tools at 100% cover, as a priority digital sector
- CDTI grants: if the automation project has an R&D component (proprietary algorithms, applied AI)
- R&D&I tax deductions: if the automation involves technological innovation, 12% can be deducted under Impuesto sobre Sociedades (Spanish corporate income tax)
How do you start automating, step by step?
- Audit your processes: list every repetitive process in the company and classify them by time spent, frequency and error potential
- Prioritise by impact: start with the processes that consume the most time and generate the most errors — the quick wins that prove value fast
- Choose a tool: no-code for simple automations (Zapier/Make), an ERP for core processes, RPA for legacy systems
- Run a contained pilot: automate one complete process before scaling — measure the time saved and the errors avoided
- Train the team: AI training for companies lets your own team build and maintain the automations
- Scale: once the pilot is validated, extend it to more processes and departments
Common mistakes:
- Trying to automate everything at once instead of starting with one specific process
- Automating badly defined processes (optimise first, then automate)
- Not measuring before and after with clear KPIs
- Choosing tools that are too complex for the team's level
- Not integrating the automation with the existing ERP
