CRM for SMEs: how to choose one and fund it with Kit Digital
A CRM (Customer Relationship Management) system lets your company centralise client management, automate commercial follow-up and take decisions based on real data. For an SME, the difference between spreadsheets and a professional CRM is the difference between losing opportunities and closing sales.
The good news: the Kit Digital scheme can cover up to 100% of the cost of rolling out a CRM in your company, with vouchers of up to €12,000 depending on your headcount. For companies operating in Spain, there is no longer a financial excuse not to make the jump.
What is a CRM and why does your SME need one?
A CRM is software that centralises all the information about your clients and prospects in a single platform: contact details, interaction history, quotes sent, closed sales and pending tasks.
The concrete benefits for an SME are:
- Visibility of the sales pipeline: knowing which stage each opportunity is at
- Automated follow-up: automatic reminders, scheduled emails, inactivity alerts
- Effortless reporting: sales reports, forecasts and team performance metrics
- Centralisation: all the information available to the team, without relying on individual memory
- Scalability: processes that work with 5 salespeople just as well as with 50
How much does a CRM for SMEs cost?
Prices vary enormously depending on the platform and the number of users:
| CRM | SME plan | Price/user/month | Best for |
|---|---|---|---|
| HubSpot CRM | Free (basic) | €0 – €90 | SMEs starting out, integrated marketing |
| Zoho CRM | Professional | ~€23 | SMEs with complex processes, best price |
| Pipedrive | Professional | ~€49 | Pure sales teams, ease of use |
| Salesforce | Essentials | ~€25 | SMEs with an aggressive growth plan |
| Clientify | Business | ~€39 | Spanish SMEs, support in Spanish |
For an SME with 5 users, the annual cost ranges from €1,380 (Zoho Professional) to €5,400 (HubSpot Sales Hub Professional). CRMs with free plans (HubSpot, Zoho) let you start with no investment and scale as the company grows.

How to fund your CRM with Kit Digital
Kit Digital is a grant programme run by the Spanish government that issues digital vouchers so that SMEs and self-employed workers in Spain can adopt technology solutions. The customer management category covers the rollout of a CRM directly.
Amounts by segment
| Segment | Size | Maximum voucher |
|---|---|---|
| Segment I | 10–49 employees | €12,000 |
| Segment II | 3–9 employees | €6,000 |
| Segment III | 0–2 employees | €3,000 |
The grant covers 100% of the cost of the solution contracted with an accredited digitalisation agent. In other words, the SME does not have to put in any money of its own.
Steps to apply
- Register at acelerapyme.gob.es and complete the digital maturity test
- Apply for the digital voucher that matches your segment
- Choose an accredited digitalisation agent that offers the CRM solution
- Formalise the agreement and start the rollout
The programme runs until the funds are exhausted, with no rigid deadline. Funds that are not drawn down are reinvested directly into the programme.
What features should a CRM for SMEs have?
Not every feature matters equally to an SME. The essentials are:
Must-haves
- Contact and company management: a centralised database with full history
- Visual sales pipeline: drag and drop opportunities between stages
- Activity tracking: calls, emails and meetings logged automatically
- Basic automation: workflows for repetitive tasks (follow-ups, lead assignment)
- Reporting: a dashboard with sales metrics
Nice to have
- Email integration: synchronisation with Gmail/Outlook
- Mobile app: access from outside the office
- Invoicing integration: connection with electronic invoicing software
- Marketing automation: bulk emails, landing pages, forms
- Built-in AI: close prediction, lead scoring, recommendations
CRM and digital transformation: beyond customer management
Rolling out a CRM is not just changing tool — it is transforming how your company manages its client relationships. It is part of a broader digital transformation process that can include:
- ERP for financial and operational management — also eligible for Kit Digital funding
- Process automation across sales and administration
- Data analytics for decisions based on real metrics
Investment in management software is also a deductible expense under Impuesto sobre Sociedades (Spanish corporate income tax). In many cases it can qualify for accelerated depreciation for SMEs, doubling the rate at which the software is written down.
