AI tools for business 2026: comparison and which one to choose

BY TECNOCIM INNOVA   PUBLISHED ON 17 MAY 2026

Global spending on artificial intelligence will reach 301 billion US dollars in 2026, growing 29% a year (IDC, 2026). In Spain, 21.1% of companies with 10 or more employees already use AI (INE, 2025) and 85% plan to increase their investment next year (Deloitte, 2026). The challenge is not the supply of AI tools — it is choosing the right ones for each need and funding them sensibly.

This guide brings together the best AI tools for business organised by category, with real prices and the Spanish public grants that can cover up to 70% of the investment.

Do you need guidance on choosing the right tools? Our AI training for business service includes a digital maturity assessment and a tool recommendation tailored to your sector.

Which AI tool does your company need? A guide by size

Not every company needs the same artificial intelligence tools. The recommendation varies with size and digital maturity:

Micro-SME (1–9 employees)

Small SME (10–49 employees)

Mid-sized SME (50–249 employees)

Two AI tools we single out for being Spanish-built: Holded (accounting and integrated management, from Barcelona) and Factorial (HR, from Barcelona). Both are designed around Spanish tax and employment rules, with local support and competitive prices for SMEs.

What do AI tools cost in 2026?

One key point: implementation and integration costs add between 20% and 30% on top of the licence price. Work with the TCO (total cost of ownership), not just the monthly subscription.

ToolBase priceEstimated TCO (year 1, 10 users)
ChatGPT Enterprise60 USD per user per month~€8,600
Copilot 36530 USD per user per month~€4,300
HubSpot Pro90 USD per user per month~€12,900
Holded€29 per month (all inclusive)~€420
Factorial€4.50 per employee per month~€650
Zoho CRM14–52 USD per user per month~€2,000–€7,500
n8n Cloud€20 per month~€290
Make Pro9 USD per month~€130

Note: the TCO adds an estimated +25% on top of the base price for integration and initial training. Prices subject to change.

67% of Spanish workers now see AI as an ally that improves their productivity (Randstad, April 2026). Investment in tools pays off when it is paired with the right training — and this is where prompt engineering makes the difference between using AI and getting results.

How to fund your AI tools: Kit Digital, tax deductions and FUNDAE

Investment in AI tools returns an average of 5.8x in the first 14 months of rollout (McKinsey, 2025). That return accelerates when you use the Spanish public grants available.

R&D&I tax deductions under Article 35 LIS

A tailored rollout of AI tools can qualify as Technological Innovation (a 12% deduction). If it involves developing proprietary algorithms or custom models, the R&D deduction applies (25–42%). See the detail in our R&D&I tax deductions service.

FUNDAE training

Training your team on the new tools can be funded through FUNDAE: 100% for micro-SMEs, 75% for companies with 10–49 employees. On top of that, the AI Act (Art. 4) has required since February 2025 that companies ensure the AI literacy of their staff — training is no longer optional.

A stacking example

A Spanish SME with 30 employees that invests €10,000 in AI tools:

ItemAmount
Total investment (licences + integration)€10,000
Kit Digital (Band I)-€10,000
FUNDAE (team training)-€800 (estimate)
Net cost~€0 (training funded separately)

In this scenario, Kit Digital covers the whole investment in tools. The training is funded separately through FUNDAE.

How to choose and deploy: a 4-step roadmap

  1. Audit (week 1): identify which tools in your current stack already have AI built in. Assess the 3 processes with the highest volume of manual work. Review the grants available (Kit Digital, CDTI).
  1. Pilot (weeks 2–5): pick 1–2 tools and test them in one department for 4 weeks. Measure time saved and output quality. The pilot data is what justifies the investment.
  1. Train (weeks 6–8): upskill the team with AI training funded through FUNDAE. Prompt engineering multiplies the results of any tool.
  1. Scale (weeks 9–12): extend to other departments. Connect tools with automations (Make, n8n). Document the project as Technological Innovation for the 12% tax deduction. Consider AI agents for the more complex tasks.

Which AI consultancy firms operate in Spain?

The Spanish AI consultancy market is growing at the same pace as tool adoption. Beyond specific names, what matters to an SME is understanding which phases this service covers and how it fits with public grants. A solid AI consultancy walks you through four stages: a digital maturity assessment, tool selection, rollout and strategic support, and team training.

Each phase has its own funding route. Kit Digital, run by Red.es through the Acelera Pyme platform, already includes artificial intelligence solutions in its catalogue, with a dedicated call for medium-sized companies (50–249 employees) and vouchers of €25,000 and €29,000 depending on the band (Red.es, 2026). Exact amounts and deadlines vary from call to call, so it is worth checking them at acelerapyme.gob.es before you commit a budget.

Team training can be funded through FUNDAE: the credit is calculated on the vocational training contribution base at 0.7%, with a funding percentage that depends on headcount — 100% for companies with 1 to 9 employees, 75% for 10 to 49, 60% for 50 to 249 and 50% for 250 or more (FUNDAE, 2026). Companies with fewer than 50 employees also have a guaranteed minimum credit and can carry any unused amount forward for two financial years.

Finally, developing or configuring advanced software with new algorithms can generate an R&D&I tax deduction: 25% of R&D expenditure (42% on the amount above the average of the previous two years) and 12% for technological innovation, among other incentives (Art. 35 LIS). At Tecnocim Innova we bring those four phases together in a single AI training consultancy service, matching each step with the funding that best supports it.

Next step

The best AI tools for your company depend on its size, sector and digital maturity — but they all share one thing: the Spanish public funding ecosystem can cover up to 100% of the investment when you combine Kit Digital, tax deductions and FUNDAE.

At Tecnocim Innova we help you select the tools, train your team, manage your tax deductions and design an AI strategy for running your business that delivers measurable results.
